This notice explains what personal data SearchIntel.ai processes, why we process it, how long we keep it, and the rights you have under the EU General Data Protection Regulation (GDPR).
Last updated: 7 September 2026
1. Who we are (data controller)
The data controller for personal data described in this notice is Prodia Systems Limited, a private company limited by shares incorporated in Ireland under company number 822962, trading as SearchIntel.ai, with its registered office at 27 Pembroke Street Upper, Dublin 2, D02 X361, Ireland. 3. What we collect and why

|---|---|---|
| Name, work email, company, message content | Responding to demo requests and enquiries | Legitimate interests / steps prior to a contract (Art. 6(1)(f), 6(1)(b)) |
| Account and billing details for customers | Providing and invoicing the service | Contract (Art. 6(1)(b)) and legal obligation for tax records (Art. 6(1)(c)) |
| Website usage and analytics data | Understanding and improving site performance | Consent (Art. 6(1)(a)) — set only if you allow analytics cookies |

| Server logs, IP address, security events | Keeping the service available and secure | Legitimate interests (Art. 6(1)(f)) |
We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.
4. Search intelligence data
The platform primarily processes search, ranking, competitor and campaign data about websites and brands, not individuals. Where customer-provided datasets happen to contain personal data, we act as a processor on the customer's documented instructions under a data processing agreement, and the customer remains the controller.
5. Retention
- Enquiry correspondence: 24 months from last contact.
- Customer account and platform data: for the term of the contract plus 12 months.
- Invoices and tax records: 6 years, as required by Irish law.
- Analytics data: maximum 14 months.
- Cookie consent record: 12 months, then we ask again.
- Security logs: 90 days.
6. Sharing and processors
We share personal data only with service providers who help us run SearchIntel.ai — cloud hosting, email delivery, analytics, payment processing and customer support tooling — each bound by a written Art. 28 processing agreement. We may also disclose data where required by law or to establish or defend legal claims.
7. International transfers
Data is hosted in the European Economic Area wherever possible. Where a provider processes data outside the EEA, we rely on an adequacy decision or the European Commission's Standard Contractual Clauses together with a transfer risk assessment and supplementary safeguards. You may request a copy of the relevant safeguards from our DPO.
8. Security
We apply access controls on a least-privilege basis, encryption in transit and at rest, segregated environments, logging and monitoring, vendor due diligence and a documented incident response process. Qualifying personal data breaches are reported to the supervisory authority within 72 hours and to affected individuals where the risk is high.
9. Your rights
Under the GDPR you have the right to:
- Access — obtain a copy of the personal data we hold about you.
- Rectification — have inaccurate or incomplete data corrected.
- Erasure — ask us to delete data where there is no overriding basis to keep it.
- Restriction — ask us to pause processing while a matter is resolved.
- Portability — receive data you gave us in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests, and to direct marketing at any time.
- Withdraw consent — at any time, without affecting processing carried out before withdrawal.
Email dpo@searchintel.ai to exercise any right. We respond within one month and may ask for proof of identity. There is no charge unless a request is manifestly unfounded or excessive.
10. Complaints
If you are unhappy with how we handle your data, please contact our DPO first. You also have the right to lodge a complaint with the Irish Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28 (dataprotection.ie), or with the supervisory authority in your country of residence.
11. Cookies
Cookies and similar technologies are covered in our Cookie Policy. You can change your choice at any time using the cookie settings link in the footer.
12. Changes
We update this notice when our processing changes. Material changes are highlighted on this page and, where required, we will ask for your consent again.
